Generating a New Calendar

This article walks you through the process of generating a new calendar using the TestNotice calendar generation tool. It is a prerequisite to this article that you have a firm understanding of the settings of the calendar generation tool itself contained within the following articles:

When you have properly set up your calendar and wish to generate a calendar for the month select the month and click "Generate" using the tool provided below the colors and settings for a calendar in the Identifier / Calendar -> Calendar Generator section of the portal.

The platform allows you to generate a calendar for the current month or the 5 months in the future from the current month.

Be extremely careful if you are generating a calendar, especially for the current month. Publishing a generated calendar using this tool completely replaces any existing calendar data for the month. If you were to accidentally publish a calendar for the current month, replacing your active calendar, there is no undo or automated recovery available.

Upon clicking "Generate" the space below the generation tool will be filled with the contents of the generated calendar:

Note that, if desired, the Generate button can be used to generate another version of the calendar as needed.

There is a significant amount of functionality available for any given day within the calendar designed to help you quickly generate a calendar that makes sense for your needs. The top of every calendar day provides the total users represented by the colors called for that day, for example in the screenshot above March 6th, 2016 has 18 total users called.

Each color on a given day is also displayed with the individual number of people assigned to that color (and adding these together gets you the Total Users Value). Any color may be clicked on to bring up a dialog box showing details associated with that given color:

From this view you can see the details of this color in the context of this specific generated calendar. Included are the Max Test Window value, the Frequency of the color which are both values discussed in the Color Manager and Calendar Generator Settings articles. In addition, three values specific to this calendar generation are also included and described below:

Times Called This Month

This is a simple total of the number of times this color was placed on the calendar in this version of the generated calendar. Because this is based on a random percentage chance, it is likely to vary from generated calendar to generated calendar.

% Called (Monthly)

This is the calculated percentage chance this color was placed on the calendar based on the current version of the generated calendar. As is true with the "Times Called This Month" statistic, this value is likely to change between one generated calendar to the next and represents the "effective" frequency. Please see our article on Understanding Random Frequencies for more information

Users in Color Group

This is the total number of users assigned to this color, and thus will be called for testing when this color is published.

Moving Calendar Colors

Between the time that a calendar is generated and when it is finally published the colors on any given day may be moved around on the calendar easily simply by dragging and dropping a given color to a new day:

Moving a color automatically re-calculates the total number of users for each given day. You cannot add or remove colors from a generated calendar in the Calendar Generator tool.

The Generated Calendar Toolbar

There are various tools available to you once a calendar is generated located in the toolbar shown earlier in the article. The purpose of each of these tools is described below.

Enables the "Heat Map" feature of the calendar, whereby the "Total Users" bar becomes color-coded based on the Maximum capacity of your agency for testing on any given day. As the colors change on any given day from Blue to Red it indicates too many or not enough people testing on a given day. Please see the Calendar Settings article for more information on setting the maximum daily capacity.

(Example of the calendar heat map, showing the date on the left has too many users based on the maximum capacity settings while the date on the right has room for more users).

 Prints the currently generated calendar

Save the currently generated calendar in local storage. Please see the section below on saving and loading calendars.

Regenerate the calendar, the same as clicking "Generate" again

Publish the calendar

Saving / Loading Calendars

The Calendar Generator tool has the ability to save and load calendar data to the Local Storage of your browser. If you browser does not support Local Storage, or this feature is disabled on your browser, you will not be able to save calendars. Note, that because the calendar is saved locally you will only be able to load a saved calendar from the same browser and computer it was saved from. You can also only have one saved calendar at a time.

To save a calendar simply click the Save icon in the calendar toolbar described above. To load a previously saved calendar simply click the "Load Saved Calendar" button next to the "Generate" button described earlier in this article.

This save/load feature allows you to "pause" your work generating your calendar by temporarily saving it to the local machine where you can then re-load it to continue working on it. Saving a calendar in no way is the same as publishing a calendar which is required to make that calendar active in the portal.

Publishing a Calendar

In order for a calendar to be finalized for use as the calendar for a given month it must be published by clicking on the publish icon in the toolbar. Until the calendar is published it only exists temporarily in the calendar generator (unless saved as described above). Publishing a calendar completely replacing any existing calendar data for the month being generated. Special care should be taken to ensure doing this does not destroy an active calendar being used by the agency.
